College Event Management System (CEMS): A Secure, Scalable, and Role-Based Digital Platform for Campus Event Administration

  • Campus events are integral to fostering academic, social, and extracurricular engagement in higher education institutions, yet traditional manual management processes often lead to inefficiencies, errors, and security vulnerabilities. These challenges include duplicated registrations, delayed approvals, insecure data handling, and limited scalability for large-scale events involving students, faculty, and parents. This paper proposes the College Event Management System (CEMS), a secure, scalable, and role-based web platform designed to streamline event administration from creation to feedback. CEMS addresses these issues by implementing Role-Based Access Control (RBAC) for differentiated user permissions, JSON Web Tokens (JWT) for authentication, and an integrated workflow for registration, approval, payment, and analytics. The system follows the Model-View-Controller (MVC) architecture, built using Java 21, Spring Boot, Spring Security, MySQL, and frontend technologies like Thymeleaf and Tailwind CSS. Key features include admin-led event hubs, student/parent registration with real-time notifications, automated approval workflows, payment gateways, and post-event feedback mechanisms. Security is enhanced through JWT-based sessions, BCrypt password hashing, and SQL injection prevention via parameterized queries. Performance evaluations, simulated on a testbed with 500+ virtual users, demonstrate significant improvements: registration time reduced by 75% compared to manual systems, error rates dropped to under 1%, and system response time averaged 150ms under load. Scalability tests using JMeter showed the platform handling 1,000 concurrent requests with 99% uptime. User satisfaction surveys indicated 92% approval rates for usability and security. Compared to existing solutions, CEMS offers superior integration of RBAC and JWT, filling gaps in parent-child event linkages and real-time analytics. Future scope includes mobile app development, AI-driven event recommendations, QR code check-ins, cloud migration for enhanced scalability, and automated certificate generation. CEMS not only optimizes event management but also promotes inclusive campus participation, contributing to digital transformation in educational administration. This work provides a blueprint for similar platforms in resource-constrained institutions, emphasizing open-source technologies for affordability and maintainability.
